How an Australasian Freight Forwarding Company streamlined their order management processes
Hemisphere Freight was established over 25 years ago with offices in Australia and New Zealand and long-term relationships with agents around the globe. Hemisphere invest time and energy ensuring clients are enjoying hassle-free freight service.
Due to the fundamental changes to both the technologies used to build responsive websites, and the paradigm shifts in the industry towards single-page applications, it was time to rebuild their legacy software from the ground up.
Hemisphere needed a custom-built web application to simplify the freight order management process with bespoke planning, tracking and notification systems. Features would include:
- Numerous user types with varying levels of access
- Being able to facilitate FCL, LCL and Air Freight orders
- Track container content
- Container and Order creation wizards
- Management of Sailing Schedules
- Multiple APIs (allowing inbound and outbound connections to 3rd party software)
- Reporting and Analytics
- Automated rule-based email notifications
Hemisphere’s existing system had many features but it’d become sluggish and was not intuitive for new users to pick up. They decided to start with a Project Discovery Roadmap to ensure they weren’t going to recreate features that wouldn’t be used.
Over the course of several weeks, the Orchid team sat down with Hemisphere’s sales and support teams and reviewed their current processes, identified a bunch inefficiencies and discovered new areas that were able to be further improved with automation.
After completing the analysis period, prototypes were designed and built which allowed staff to test out and revise screens to ensure that the finished software worked reliably. Training and how-to documentation were also given to staff to ensure a smooth transition for Hemisphere Freight, their clients, and a myriad of other parties that interact with orders.
Results and Future Plans
Hemisphere’s software was released as a cloud-based web application for their New Zealand office around late 2016. Additional web apps have since been added to their fleet of online tools both for their New Zealand and Australian offices.
Processes which used to be done manually with Excel spreadsheets (and even offline on paper!) are now handled by their cloud-based software. This has seen a reduction in admin hours and greater access to data.
With a full rest API, integration with 3rd party software is now much easier and faster. Using the API, multiple clients and carriers now directly integrate their systems with Hemisphere’s software resulting in much more efficient processes for all parties.
Exciting plans are being embarked upon to further develop their digital solutions to help them continue to innovate.
